SERVICE FULFILLMENT COORDINATOR

Operational Responsibilities

Protect the business

Internally, by ensuring we deliver quality service using safe/best practices. This means you as the Service Fulfillment Coordinator you are directly responsible to ensuring all activities fulfilled by the service team on behalf of The Company complies with its zero loss program of zero injuries, zero damage to property (including company assets) and zero bad jobs (service and PPM)

Key Function

Maintain (in conjunction with the Service Management) 24 hour service capability, this will include:
1. Control/over-see human resource requirements including the management of planned/scheduled annual leave and the ‘Call Out’ roster
2. Support and participate in SMT process as applicable, resource Ideal Air controlled document IACL-SAP
3. Ensure all technicians reflect a professional image (clean tidy vehicles, clean & tidy personal appearance/grooming)

Operational Activities

Perpetual/Daily

Maintain 24/7 service capability, this will mean you will actively be involved in the operational activities of the service department by:
1. Creating new (reactive and planned) service jobs
2. Control/over see allocation of both reactive and planned service work and process completed Service Summary sheets
3. Control/over see allocation of PPM work. This will include printing/preparing PPM sheets prior to the allocation of work and then processing all completed PPM Sheets as per processes SMT-PPM SHEET CHECK and SMT-PPM FOLLOW UP
4. Check technician timesheets, Service Reports plus any associated other paperwork and ensure they have been completed correctly before being processed by the accounts department. NB Quarantine any non-compliant paper work by passing on to service management
5. Manage/maintain the availability of service forms (macro level), including time sheets, OH&S Declaration forms, Service Set Up Sheets etc
6. Manage/maintain call-out roster
7. Control/oversee management of Company owned service tools (macro level) so tools no longer in use are returned to quarantine area for checking/service/repair or other

Weekly

1. Review status of all reactive/responsive type service jobs open older than 10 working days and advise the Service Management and/or re-allocate as required
2. Participate in weekly (Tuesday) Service Meetings with Service Supervisors and QA Process Owner (technical champion) with the purpose of ensuring all service related activities are be fulfilled in accordance with Company goals/objectives, NB minutes to be copied to management
3. Participate in/lead weekly (Friday am) Service Meeting, ensure all service staff complete Weekly Health & Safety Declaration, review and action any concerns in conjunction with Service Management

TECHNICIAN
